Position Summary: Executive Assistant to support senior level executive(s). The ideal candidate will have strong executive presence with excellent organizational, attention to detail, and interpersonal skills, while remaining flexible and easily adaptable to changing priorities. The ideal candidate will also have demonstrated experience interfacing with all levels of internal and external professionals, managing multiple simultaneous responsibilities, and be comfortable adapting to shifting priorities and work responsibilities.

Position Duties:

  • Develop, collect, and assimilate data for various projects and reports

  • Coordinate special projects, monitor project progression and scheduled completion dates, assist with action items as requested

     

  • Create, edit and format Word and Excel documents at an intermediate to expert level

     

  • Create and format documents in PowerPoint and Adobe

     

  • May be considered knowledge resource in one or more of the Firm’s core technology applications (ex: Word, Excel, etc.) and be requested to train others who are less skilled

     

  • Assist with the creation/modification of presentations, spreadsheets, and other various documents

     

  • With guidance, may manage certain administrative aspects of client engagements

     

  • Collaborate with colleagues to determine and recommend cost-effective solutions for completing tasks

     

  • Manage and execute appointment calendars for assigned Partners as requested

     

  • Filing and organizing confidential documents, typing as well as distributing internal communications/memos, faxing any required correspondence, and assisting in meeting preparation

     

  • Coordinate and schedule Firm meetings, conferences, teleconferences, and events

     

  • Compose and distribute written meeting minutes

     

  • Perform complex and confidential secretarial/administrative functions

     

  • Communicate with co-workers regarding workload and job sharing

     

  • Provide backup to other administrative team members as needed

     

  • Other Duties as assigned

  • Successfully work in a high-paced environment with multiple interruptions

     

  • 3+ years Previous Experience as an Administrative Assistant/Executive Assistant, or other relevant experience
